The Role: 
The People Administrative will be responsible for analyzing employee-related data, controlling and reporting critical information, and making it available for decision-making across the company. Additionally, this role involves researching and seeking solutions to optimize Human Resources processes, including Policies and Procedures and Management Systems, aimed at improving the efficiency of the HR function.

 

Main Responsibilities:  

  • Manage the HRIS (SAP system) to implement the necessary processes for the entire department.
  • Manage documents essential to the function, such as company MSAs, W8Ben and others.
  • Automate the health insurance invoice control process on a global scale.
  • Manage health insurance payments globally.
  • Communicate updates and enable their centralization in a designated file.
  • Update staff spreadsheets and report to payroll the payment novelties that happened during the month. (new developments, position changes, ABM compensation).

 

Mandatory Requirements: 

  • Between 3 to 5 years of experience.
  • Bachelor's degree in Accounting, Business Administration, or a related field.
  • Demonstrated experience working with employees and independent contractors across multiple countries.
  • Solid understanding of U.S. employment laws and regulations.
  • Advanced proficiency in Microsoft Excel and Power BI.
  • Fluency in English (both written and spoken).
  • Strong conflict resolution and problem-solving skills.

 

Quality Indicators and Controls:  
Conduct quality controls using spreadsheets followed by a final review via emails sent to verify information. Monitor staff indicators (KPIs) to ensure compliance with established standards.
Innovation and Research:  
Seek ways to automate and implement processes to reduce the time spent on manual tasks.
Collaborate with developers to create applications for uploading invoices that were processed manually. Participate in the SAP implementation process with the aim of innovating and improving People processes.

Decision-Making:  
Gather, process, and present information that will inform decisions related to benefit reimbursements, supplier purchasing, and application of payment systems.

Context:  
Internal Relations: Coordinate with payroll department for payments, process updates and ensure processes are follow to fulfil the deliverables required. External Relations: Work with different type of vendors such as People Next and SAP partners.

Compensation
Compensation will be in USD, competitive and commensurate with experience.
